## What is the sequence of service in a restaurant?

The sequence of service is the standard order of tasks a server follows for every table, from the moment guests arrive to the moment the table is reset for the next party. It covers **what** to do, **when** to do it and **what to say**, so every guest gets the same experience whichever server they have.

## Why a fixed sequence matters

- **Consistency.** Guests get the same standard on a quiet Tuesday and a full Saturday.
- **Faster training.** New staff learn one clear routine instead of copying habits.

## The 12 steps of service

### 1. Greet and seat the guests

**When:** within about a minute of guests walking in.

- Make eye contact and smile, even if you're busy. A nod and "I'll be right with you" counts.
- Confirm the booking name, or ask how many people.
- Offer a choice when you can: inside or terrace, window or quiet corner.
- Pull out chairs where appropriate, and offer to take coats.
- Note any occasion (a birthday, an anniversary) or a first visit, and tell the server.

**What to say:** "Good evening, welcome. Do you have a reservation?"

### 2. Present the menus and offer water and drinks

**When:** as soon as guests are seated.

- Hand menus to each guest, or explain the QR menu: "The menu is on the QR code. It's available in English, French and German too."
- Offer water. In France, a jug of tap water (*carafe d'eau*) is free with a meal. In Spain, Law 7/2022 requires hospitality venues to offer customers tap water free of charge.
- Take the drinks order, or give guests a minute if they need it.
- In Portugal, if you bring bread, olives or other *couvert* to the table unrequested, guests are not obliged to pay for it if they don't eat it.

**What to say:** "Can I get you something to drink while you look at the menu? Still or sparkling water?"

### 3. Serve drinks and present the specials

**When:** within about 5 minutes of the drinks order.

- Serve drinks from the guest's right where possible, and wine to the host first for tasting.
- Describe **at most three** specials, with their prices. Guests dislike asking the price of a special.
- Mention anything that has sold out now, not after they order it.

**What to say:** "Tonight we have grilled sea bream with clams for 22, and the chef's risotto with wild mushrooms for 17."

### 4. Answer questions and suggest pairings

**When:** as guests read the menu.

- Know every dish: main ingredients, cooking method, portion size and allergens.
- Recommend by name, with a reason: "The octopus is our most-ordered dish. It's charcoal-grilled."
- Suggest a drink pairing for the dish they're considering.
- If you don't know an answer, say "Let me check with the kitchen." Never guess about allergens.

### 5. Take the order and check allergies

**When:** when guests close their menus or look up.

- **Ask every table:** "Does anyone have any allergies or dietary requirements?"
- Take orders in a fixed seat order (for example clockwise from the host), so food goes to the right person without asking.
- **Repeat the order back**, including changes and allergies.
- Send allergies to the kitchen **in writing** on the ticket or POS, not only by word of mouth.
- Ask about course timing: "Would you like the starters to share and the mains together?"

### 6. Serve the food

**When:** starters within about 10–15 minutes, mains within about 15–20 minutes of starters being cleared, depending on the kitchen.

- Serve everyone at the table at the same time.
- Place each dish in front of the right guest without asking "who had the...?", using your seat numbers.
- Name the dish as you set it down. For allergy orders, say so: "This is the risotto, prepared without dairy."
- Bring sauces, cutlery and extra bread before guests need to ask.

### 7. Check back and refill drinks

**When:** 2–3 minutes after the mains arrive, then as needed.

- Ask a specific question: "How is the bream?" rather than "Is everything OK?"
- Fix problems immediately and tell the manager.
- Refill water, and offer another drink when glasses are about a third full.
- **Don't hover.** Watch from a distance and come back when guests look up.

### 8. Clear the table

**When:** when **everyone** at the table has finished. In some casual US restaurants it is acceptable to clear each plate as it's finished. Ask if you're unsure.

- Signs a guest has finished: knife and fork placed together on the plate.
- Ask before clearing: "May I take this for you?"
- Clear from the guest's right, remove side plates and condiments that are no longer needed, and brush away crumbs.

### 9. Offer dessert, coffee and digestifs

**When:** right after clearing.

- Bring the dessert menu, or describe the desserts, rather than asking "Any dessert?", which invites a quick no.
- Suggest sharing: "The pastéis de nata are small, if you'd like to share a couple."
- Offer coffee and digestifs (a *limoncello*, a *licor beirão*, an *orujo*, a Turkish tea or coffee).
- Offer dessert to take away if guests are full.

### 10. Present the bill and take payment

**When:** in most of Europe, when guests ask. In the US, once they have finished and declined more.

- Check the bill before bringing it.
- Offer to split the bill without making it awkward.
- Bring the card terminal to the table, and never take a card out of sight.
- Explain any cover charge (*coperto* in Italy) or service charge that appears on the bill. It must be shown on the menu.

### 11. Thank the guests and invite feedback

**When:** as guests leave.

- Thank them by name if you know it, and invite them back.
- If the visit went well, invite them to leave a review: "If you enjoyed it, a Google review really helps us." A **review QR code** on the bill folder makes this easy.
- If something went wrong, the manager should speak to the guest before they leave, not reply to a bad review afterwards.
- Mention upcoming events, or the loyalty card.

### 12. Clear and reset the table

**When:** immediately after guests leave.

- Clear everything, then clean and sanitise the table and chairs.
- Reset to the standard layout: cutlery, glasses, napkins, table number or QR card.
- Check the floor, and the high chair if used.
- Tell the host the table is ready.
